Job Opportunity for the position of: Receptionist / Sales Administrator

Kelbix is based in Kya Sands and currently seeking a highly organized and detail-oriented Receptionist and Administration (Operations and Internal Sales) Specialist to join its team. As an Administration Specialist, you will be responsible for providing administrative support and ensuring the smooth operations of the company smooth operation in the frontdesk reception to assist with Sales and Admin works.

Your primary focus will be on managing various administrative tasks, coordinating business activities, and facilitating effective communication between internal teams and external clients.

Administrative Roles and Responsibilities:

  • Answer all incoming phone calls for the company
  • Welcome and attend to customers and visitors
  • Provide coffee to guests
  • Manage the display
  • Assist customers telephonically for sales / admin support
  • Prepare quote, Invoice customers
  • Social media management on Facebook and Instagram, etc – scheduling posts and content as well as dealing with all queries on messenger.
  • Maintain office stationery.
  • Maintain office supplies.
  • Maintain general office admin.
  • Attend to emails and staff queries.
  • Check Company accounting system to update and reconcile records.
  • Operate telephone switchboard.
  • Keep reception area presentable.

Admin support to Management Team:

  • Consumables shopping for Company
  • Managing facilities issues at offices and other buildings
  • Scheduling of meetings
  • Agenda’s and Minutes to meetings
  • Run personal errands for Managing Director
  • Project Management
  • Manage relationships with service providers/contractors
  • Running of errands
  • Perform any other tasks as directed by the Management
  • Sales Support:
    • Assist in preparing and organising sales presentations, proposals and contracts.
    • Generate and maintain sales reports, forecasts and customer databases.
    • Coordinate sales meetings, training and appointments, ensuring all necessary resources are available for training and presentations.
    • Customer Relationship Management:
    • Respond promptly to customer enquiries and provide accurate information about products and services.
    • Address customer concerns and resolve issues to ensure high levels of customer satisfaction.
    • Maintain strong, professional relationships with existing and potential customers through regular communication.
    • Order Processing and Coordination
    • Process sales orders and ensure timely delivery of products and services to customers and channel.
    • Collaborate with various departments such as projects, finance and operations to fulfill customer orders and resolve order-related issues.
    • Track and manage inventory to prevent stockouts and ensure product availability.

Documentation and Compliance:

  • Maintain accurate and up-to-date records of sales activities, customer interactions and transactions.
  • Ensure compliance with company policies, industry regulations, and legal requirements related to sales and customer interactions.

Requirements:

  • Minimum of Matric certificate
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software (e.g., MS Word, Excel, PowerPoint)
  • Attention to detail and a commitment to accuracy.
  • Ability to work independently and collaborate effectively with cross-functional teams.
  • Problem-solving skills and the ability to handle customer complaints and escalations professionally.

Salary: R3,000
